In this lesson, we’ll cover everything you need to migrate your clients to Bonsai:
Important: Before proceeding with the following steps, we recommend that you reach out to your clients to let them know you’re migrating your payment platform from Webflow to Bonsai. Communicating these changes ahead of time will help your clients know what to expect and prevent misunderstandings in the future.
How to create a Bonsai account
Visit the Webflow + Bonsai sign-up page to claim your Bonsai Workflow plan with the special discount offer for Webflow customers who used Client Billing
Use the same email address associated with your Webflow account for sign-up
Fill out your information according to the on-screen prompts
Select Create an invoice as your final sign-up step to redirect you to your Bonsai dashboard
Select the Payments tab from the left-hand menu in your Bonsai dashboard under Invoices
Choose a payment method (e.g., Bonsai Payments, Stripe, or PayPal) according to your preferences and region
Click Add New Account under Payout Destination
Choose “debit card” or “bank account” as your Payout Destination and enter your payment information
How to set up a project and invoice in Bonsai
When you migrate your clients to Bonsai, you can add them individually, or import them directly into Bonsai with a comma separated values (CSV) file. Then, you can create new projects (e.g., The Platinum Store’s website) and create and customize invoices on a schedule that works for you and your client.
Add clients
To add clients to Bonsai individually:
Open your Bonsai dashboard
Select the Clients tab from the left-hand menu
Click New Client to add a new individual client and enter their information
Import clients
To use CSV import to add multiple clients to Bonsai simultaneously:
Open your Bonsai dashboard
Open the Account dropdown menu in the top right and click Settings
Click the Integrations & Datatab and scroll down to the Account Data > Import Data section
Choose Clients from the dropdown for the type of data you want to import
Click Download a CSV template for importing Clients data to download a template with supported fields for your CSV data
Open the CSV template in any spreadsheet software (e.g., Google Sheets, Microsoft Excel, or Numbers)
Enter the names and email addresses (and, optionally, company name) of each of your clients within the CSV template
Download your spreadsheet in CSV format
Return to Bonsai’s Account Data > Import Data page and upload your CSV file
Match your CSV file headers (e.g., Name, Email) to Bonsai’s data structure and click Upload
Create a project
Once your clients have been imported, you can create Bonsai projects for each of your Webflow sites to keep your invoices organized.
To create a new project in Bonsai:
Open your Bonsai dashboard
Click the “plus” icon in the top right corner of the left-hand menu, then click Add Project
Choose the client associated with this project from the Client dropdown
Give your project a name (e.g., The Platinum Store’s website)
Choose the currency that matches the invoice you send to your client
Click Create Project to save your new project
Pro tip: To keep your invoices organized, we recommend giving your Bonsai project the same name as the corresponding Webflow site.
Set up an invoice
Bonsai allows you to create single invoices from scratch or automate recurring invoices to provide a seamless and efficient experience for both you and your clients.
Open the Bonsai dashboard and choose your new project from the Projects section of the left-hand menu column
Open the Invoicestab, then click the “plus” icon inside to create an invoice
Choose the appropriate Invoice Type (e.g., Single, Recurring, Subscription, or Bundled)
Choose your invoice frequency from the dropdown menu next to Invoice Type
Choose an Invoice Until option and click Create Invoice to redirect you to a preview of the invoice you’ve just created
Add any items (e.g., site hosting, design changes, etc.) and associated rates you’d like to include as an itemized list in your invoice, and adjust the invoice as needed for you and your client
Choose to send your invoice to your client Now (e.g., send now) or Schedule Later (e.g., send at a future specified time)

How to delete Client Billing
Once you’ve moved all your clients’ information to Bonsai and have set up payments for your sites, you can cancel Client Billing for the Webflow site to ensure your clients aren’t double-charged.
Important: Before you delete Client Billing from your sites, we strongly advise you to download your past invoices and make note of their billing frequency (e.g., monthly or yearly) and billing cycle dates. Once Client Billing has been deleted, these invoices cannot be recovered.
How to download Client Billing invoices
Visit Account Settings > Billing Tools and click name of the site you’d like to remove Client Billing from
Go to the Site’s settings > Billing tab
Scroll down to the Client Billing section
Click Get invoice > Download PDF to download an invoice from the Past invoices area
How to delete clients
You can cancel Client Billing for any individual site from your site’s Billing tab by deleting the associated client. Once you delete the client, the site will remain published (no downtime), but the hosting subscription will transfer to the credit card on file for your account.
Note: You will need to repeat these steps for each site connected to Client Billing.
To delete the client:
Click the Account dropdown menu in the top right of your Webflow Dashboard
Visit Account Settings > Billing Tools tab and click the name of the site you’d like to remove Client Billing from
Go to the Site’s settings > Billing tab
Scroll down to the Client Billing section
Click the “pencil” icon to edit the Client Billing settings
Scroll to the Charge Summary section
Click Delete Client to open the confirmation modal
Click Delete customer to confirm
How to delete your Client Billing account
After you’ve canceled Client Billing on all your sites, you’ll need to delete your Client Billing account. You can also delete your Client Billing account if you haven’t yet added any clients.
Important: You must cancel Client Billing on all sites that use it, or you will not be able to fully delete your Client Billing account. Please also keep in mind that deleting your Client Billing account will also remove access to Client Billing invoices, payouts, and profit details. If you have pending profit payouts, refunds, or other open issues in your Client Billing account, please wait until these are resolved to delete your account. Additionally, to ensure you don’t lose track of any important billing records, we recommend that you download all invoices for your sites with Client Billing and make note of the billing frequency for each site before canceling Client Billing on your projects.
To delete your Client Billing account:
Click the Account dropdown menu in the top right of your Webflow Dashboard
Visit Account Settings > Billing Tools tab
Scroll to the bottom of the page and click Delete Client Billing account and type “DELETE” to confirm
Note: Once you’ve deleted your Client Billing account, you cannot reactivate it at a later time.
